Privacy Policy – YourGameBase

YourGameBase respects your privacy and aims to process personal data only where it is reasonably necessary to provide, protect and improve the website and the services you choose to use.

1. Who is responsible?

YourGameBase is an independent privately operated website managed by Davy Zwiep.

2. Data processed when you browse YourGameBase

You can browse many parts of YourGameBase without creating an account.

The hosting and security environment may process ordinary technical information such as your IP address, request time, requested URL, browser or device information and security-related log data. This information may be used for website delivery, security, abuse prevention, troubleshooting and technical maintenance.

YourGameBase may also use limited browser storage for necessary website functionality, session state and your privacy preferences. More information is available in the Cookie Policy.

3. YourGameBase accounts and My GameBase

When you create or use a YourGameBase account, we may process information needed to provide and secure your account and the My GameBase features you choose to use.

Depending on the features you use, this may include your account identifier, e-mail address, profile or display information, authentication and session information, selected gaming platforms, game relationships and statuses, ratings, Favorites, followed games, notification preferences and other My GameBase settings or activity you deliberately save.

This information is used to provide your account, remember your choices, display your personal GameBase and operate the related features.

4. Contact and support

If you contact YourGameBase through the contact form or by e-mail, we process the information you provide, such as your name, e-mail address, selected topic and message, so we can handle and answer your request.

Contact submissions are sent by e-mail and are not stored by Core as a permanent WordPress contact-submissions database.

Technical anti-spam and abuse-prevention measures may temporarily process information needed to protect the contact form and the website.

5. Gameplay submissions

Logged-in users who meet the applicable Gameplay Submission requirements may submit gameplay for review.

When you use Gameplay Submission, YourGameBase may process information including:

your YourGameBase user account and user ID;
the selected game and platform or console;
the submitted YouTube URL;
the intended gameplay type;
the original recording quality and frame rate you provide;
an optional submission note;
your chosen public credit preference;
a YouTube channel URL or handle when you choose YouTube credit;
internal submission, review and workflow statuses;
reviewer information or notes reasonably necessary to assess and administer the submission.

Gameplay submissions are private workflow records unless and until content or a selected contributor credit is deliberately published by YourGameBase.

Submission does not guarantee publication.

6. Gameplay Submission Terms acceptance

Gameplay Submission v1 is available only to users who confirm that they are at least 18 years old. YourGameBase does not collect a date of birth solely for this Gameplay Submission age confirmation.

When a gameplay submission is created, YourGameBase records evidence of the accepted Gameplay Submission Terms for that concrete submission.

This acceptance record includes:

the accepting user ID;
the submission ID;
the accepted Terms version;
the acceptance timestamp in UTC.

YourGameBase does not store an IP address solely for the purpose of proving Gameplay Submission Terms acceptance.

If original or raw footage is later supplied for the same submission, the Terms version already accepted for that submission continues to apply to that material.

7. Original and raw gameplay footage

A submitted YouTube video is used as an initial review source. If YourGameBase is interested in the gameplay, we may request the original or raw recording for that specific submission.

When raw footage is requested, the contributor may receive a temporary, submission-specific upload authorization. Contributors do not receive YourGameBase’s permanent cloud-storage credentials or general access to the storage bucket.

YourGameBase currently uses private Cloudflare R2 object storage as temporary intake infrastructure for requested raw gameplay. The raw-gameplay bucket is configured with an European Union jurisdiction.

Raw footage may be processed for secure transfer, review and production. Technical information related to the upload, such as file name, file size, file type, upload status and storage/workflow identifiers, may also be processed where necessary to operate the upload and review workflow.

Completed raw cloud copies are intended as temporary intake copies. They may be removed after the material has been safely downloaded and verified for production, or when they are otherwise no longer required for the intake workflow.

Incomplete multipart uploads are automatically aborted after seven days under the current storage configuration.

A locally transferred original may be retained for longer where reasonably necessary for production, editing, publication, possible Highlights or other editorial uses permitted under the accepted Gameplay Submission Terms.

8. Contributor credits

Gameplay contributors can choose whether they would like to be credited publicly using their YourGameBase username, their YouTube channel, both, or no public credit.

If you choose a public credit option and the gameplay is published, the selected username, YouTube channel or handle may become publicly visible on YourGameBase or on an official YourGameBase publishing channel.

A credit preference does not guarantee a particular placement, an official YouTube Collaboration or another platform-specific collaboration feature.

9. YouTube and external video content

YourGameBase uses YouTube for certain gameplay, trailers and other video content.

For normal video presentation on YourGameBase, local preview images may be shown before an external player is activated. The external YouTube player is only loaded according to the website’s External Media consent flow. Once an external YouTube player is activated, Google/YouTube may process information and use cookies or similar technologies under their own terms and privacy policies.

On the Submit Gameplay page, when you enter a recognizable YouTube video URL, your browser may request the corresponding preview image from YouTube’s image infrastructure at i.ytimg.com so that you can verify the video before submitting it.

This preview-image request may disclose ordinary technical request information, such as your IP address and browser or device information, to Google/YouTube.

The Submit Gameplay preview does not automatically start a YouTube video and does not require you to submit the form before displaying the recognized preview.

10. Analytics

YourGameBase uses Google Analytics 4 (GA4) to help understand website visits, discovery, search and product usage.

YourGameBase uses its own Consent v2 interface together with Google Consent Mode v2.

Analytics storage is set to denied by default. Advertising storage, advertising user data and advertising personalization remain denied in the current implementation.

When Analytics permission is not granted, GA4 does not use analytics cookies through the YourGameBase implementation. Because the current website uses Advanced Consent Mode, Google tags may still send limited cookieless pings while analytics storage is denied. These can include consent-state and ordinary technical request information.

When you explicitly allow the Analytics category in Privacy Settings, analytics storage is changed to granted and Google Analytics may use analytics cookies for measurement.

YourGameBase does not use Google Analytics User-ID, user-provided data or advertising personalization in the current implementation.

YourGameBase also applies privacy safeguards to analytics data, including redaction of selected sensitive query parameters before page-location or referrer information is sent.

The current Google Analytics property is configured with a 14-month data-retention setting for the applicable retained analytics data.

You can change or withdraw your Analytics choice at any time through Privacy Settings.

11. Why we process personal data

Depending on the functionality and circumstances, YourGameBase may process personal data:

to provide an account, My GameBase, Gameplay Submission or another service that you choose to use;
to take steps that you request before or while using those services;
based on your consent for optional functionality where consent is required;
to operate, secure, maintain and improve the website and prevent abuse where there is a legitimate interest in doing so while taking your privacy into account;
to respond to questions, reports or support requests;
to establish, exercise or defend rights and permissions relating to submitted or published material;
to comply with applicable legal obligations.

Where applicable law requires a particular legal basis for a processing activity, YourGameBase will use the appropriate basis for that activity.

YourGameBase does not sell personal data.

Personal data may be processed by service providers where reasonably necessary to operate YourGameBase and the functionality you choose to use.

Depending on the feature, this can include providers used for:

website hosting and security;
e-mail delivery;
Google Analytics;
Google/YouTube content and preview infrastructure;
Cloudflare R2 temporary raw-gameplay transfer and storage;
other technical infrastructure reasonably required to deliver, secure, process or publish the relevant service.

External providers process information according to the agreements, safeguards and privacy terms applicable to their services.

13. Retention

YourGameBase does not intend to keep personal data longer than reasonably necessary for the purpose for which it is processed, unless a longer period is reasonably required for legal, security, rights-management or administrative reasons.

Account and My GameBase information may be retained while the account and relevant features remain in use and as otherwise reasonably required to administer the service.

E-mail correspondence may remain in the mailbox as part of normal correspondence history.

Gameplay submission and workflow information may be retained for as long as reasonably necessary to review and administer the submission.

If contributed gameplay is published, the submission record, accepted Terms version, acceptance evidence and relevant credit preference may be retained for as long as the published material is used and afterwards where reasonably necessary to document the permission granted, respond to rights questions or resolve disputes.

Rejected or unpublished submission information may be deleted or minimized when it is no longer reasonably required for review, support, abuse prevention, rights administration or dispute handling.

Raw footage stored in temporary cloud intake storage may be removed after safe download and verification or when it is no longer required for the intake workflow. Incomplete multipart uploads are automatically aborted after seven days under the current configuration.

Locally transferred raw source material may be retained for longer where reasonably necessary for production, publication or further editorial use permitted under the accepted Gameplay Submission Terms.

Google Analytics retention follows the applicable Analytics configuration described above.

14. Your privacy rights

Depending on applicable law and the circumstances, you may have rights concerning access, correction, deletion, restriction, objection, portability or withdrawal of consent regarding your personal data.

You can contact hello@yourgamebase.com with a privacy request.

We may need sufficient information to verify your identity and process the request responsibly.

Some information may need to be retained where YourGameBase has a valid legal or rights-management reason to do so, for example to document permissions relating to material that has already been produced or published.

Withdrawing consent does not affect processing that lawfully took place before the withdrawal.

15. Cookies, browser storage and privacy choices

YourGameBase uses a central Privacy Settings interface for optional categories including External Media and Analytics.

Necessary functionality remains available independently of those optional choices.

16. External links

YourGameBase contains links to external services such as YouTube, Discord and social platforms.

When you follow an external link, the privacy practices of that external service apply. YourGameBase does not control the data processing of those third-party websites or services.

17. Changes to this Privacy Policy

This Privacy Policy may be updated when YourGameBase, its functionality, service providers or applicable requirements change.

The date shown on this page indicates when the policy was last updated.
